Area Service: customer fleets
PlannedFrom the customer's order to the finished record
Service is planned: the area for service companies, workshops and dealers who look after their customers' material handling equipment. Customer, device, error, appointment, technician and report are meant to stay in one flow, without switching between phone, paper and spreadsheet. Your technicians can already use the diagnosis of Pro today.
Features
What Service is meant to do and what exists today
Service itself is planned. Today your technicians use the diagnosis of Pro, with as many users as your plan provides.
Usable today
AvailableError code search
Enter the code or browse by manufacturer, series and device type. You only see released codes with a documented source.
Meaning and possible checks
What the code means according to the source and which checks to consider, numbered and in our own words.
Tools and spare parts
With part numbers once they are recorded for the code. The catalogue is being built; part numbers are for identification only.
Tips from the community
Users share their fixes and mark what helped. The tips are kept apart below the released content and are not individually checked by us.
Team with roles
Invite colleagues to the customer portal as administrator or member. The number of users depends on the plan.
Planned
PlannedIntentions without a fixed date. What we build, we try out with pilot companies.
Customers and customer devices
Manage customers, sites and customer devices, also for customers without their own ForkScan account.
Service cases with appointment and responsibility
Turn a report, a defect, an inspection or a direct order into a service case: with responsibility, appointment, measures and completion.
“My jobs”
For technicians: their own assigned service cases and confirmed appointments at a glance, with the error code search at hand.
Sharing instead of full access
Service partners only see the devices and cases the operator shares with them, not the whole fleet. Internal notes stay with each company.
PDF service report
Produce a report with measures and result from the service case, for the customer and the device's history.
Inspection templates with signature
Carry out safety inspections (UVV) and other inspections from a template: findings, measures, signature, record and next due date.
Parts and stock
Parts used in the service case, stock levels, storage locations, minimum stock and suppliers.
Who it is for
For businesses that look after customer fleets
Service companies and dealers
You look after vehicles at many customers and need orders, appointments and records in one place.
Dispatch and service coordination
You assign cases to technicians and want to see open requests, ongoing cases and today's appointments.
Field technicians
You see your jobs, diagnose with Pro and document the result right on the case.

Principles
Working with customers
This is how the collaboration between service company and operator is meant to work. Like the area itself, it is planned.
- Customers without their own account
- You keep records of customer devices even if the customer does not use ForkScan Pro. If they join later, the record is handed over on request and after both sides confirm; your internal notes stay with you.
- One case, separate notes
- Operator and service company work on the same service case. Only what is explicitly shared is visible to both; each company's internal notes stay internal.
- Request and acceptance
- An operator's order reaches you as a request. You accept it or decline it with a reason; an appointment becomes binding once it is confirmed.
- Ready for release
- After repair and inspection you report “Ready for release”. By default, the operator decides whether the device goes back into operation.
Questions
Frequently asked questions
Can we keep records of devices of customers without a ForkScan account?
Yes, that is how Service is planned: you create customers, sites and customer devices yourself. If the customer later uses ForkScan Pro themselves, the record is handed over on request and after both sides confirm.
As a service partner, do we see a customer's whole fleet?
No. The plan is that you see only the devices and cases the operator shares with you.
Does Service replace our order processing and invoicing?
No. Quotes, invoices, stock management and interfaces to ERP systems are not part of the first stage of Service. You pass the service report on to your existing invoicing.
What can our technicians use today?
The error code search of Pro in the browser, on a PC as well as on a phone: meaning, checks, code structure, tools and spare parts where recorded, and tips. The number of users depends on the plan.
Help shape Service
We are looking for service companies to try out with us how orders, customer devices and reports should fit together. As a pilot company you use Pro and Fleet today in the Professional plan and tell us what is missing in your workflow.
