This page describes what ForkScan Pro does and how to work with it. Which features are available to you depends on your plan. The mobile app for iOS and Android is fully developed but not yet available in the App Store or on Google Play. Sections about the app describe its scope at launch.

1. Overview

ForkScan Pro is a cross-manufacturer error code database for industrial trucks, with tools for everyday workshop and fleet work. The system has three parts:

  • Customer portal in the browser: search, fleet management, inspection dates, error documentation, reports, licences and subscription
  • Mobile app for iOS and Android (in preparation): search, camera scanner, fleet maintenance and community right at the truck
  • Error code database: released codes with description and possible checks, in German and English

2. Getting started

  • Create an account: with email address and password, or with a Google or Apple account. With email address and password, you confirm the address via the link we send you; the trial starts after that.
  • Use the trial: after signing up you can test ForkScan Pro for 7 days free of charge and without a payment method, with all features except the offline pack and up to 3 error code lookups a day for your company; the lookups of all users of your company count together. The trial ends automatically; a subscription only starts with your order, paid via Stripe. After the trial ends without an order, your data stay readable for 12 months; error code lookups as well as adding and editing are locked, and the administrators can download the reports as an Excel or PDF file. If you do not order a plan within this time, we delete the data; the administrators receive a reminder by email at least 30 days beforehand.
  • Sign in to the customer portal and run your first search or add vehicles.
  • Once the mobile app has been released: install it and sign in with your email address and password, on the iPhone also with Apple. The app does not offer sign-in with Google; an account created with Google can set a password via “Forgot password” and then sign in to the app with it. The device is then linked to your account.

3. Error code search

Enter the code as the truck displays it. The search also finds partial input, such as the last digits of a code, and can be narrowed down to one manufacturer.

A result shows manufacturer and device type, the description of the error and possible checks in our own words. Depending on the plan, a monthly search quota applies; the current usage is visible in the customer portal.

The information is an aid to diagnosis. Work on the truck belongs in the hands of qualified personnel; the manufacturer's documentation takes precedence.

4. Tips

Users can submit their own tips for an error code. Other users rate these contributions; well-rated tips come first. Unsuitable contributions can be reported.

Tips come from other users, are marked as such and are not individually checked by us. They complement the source-based notes but do not replace them.

5. Fleet management

You add vehicles in the customer portal and keep their master data up to date there; every user of your company can do this, and update operating hours as well. Each vehicle has:

  • name, manufacturer and device type
  • serial number, inventory number and year of manufacture
  • location and operating hours
  • photo and documents as image or PDF

Vehicles that are no longer in use can be archived and reactivated later by your company's administrators, without losing their history. Archived vehicles do not count towards the vehicle limit of the plan. Only your company's administrators can delete a vehicle, too: it is deleted for good with its photo, documents, operating hours history and planned inspection dates. A vehicle with inspections that took place or were skipped, with a planned inspection date that already has a report, an inspector or a note, or with documented errors cannot be deleted, only archived. In the app (once it is released), any member can remove a vehicle that is stored only on their device and never reached the customer portal, for example after a refusal.

6. Inspection dates

For each vehicle you schedule inspection dates with an inspection interval in months. When an inspection is completed, the next one is created automatically. The customer portal shows upcoming and overdue dates at a glance.

Reminders are sent by email 30, 14, 7, 3 and 1 day before the date, on the due date and 1, 3 and 7 days after it while the inspection is not done, during the trial and with a plan that includes inspection reminders; no longer after the trial or the plan has ended. In the app, push notifications are available in addition.

The reminders are a supporting feature. Responsibility for meeting inspection deadlines remains with the operator.

7. Error documentation

When an error occurs on a vehicle, you record the incident: vehicle, error code, time, operating hours, notes and photos. Once the error is fixed, you add the resolution and close the case.

Enter the error code the way the display shows it. Upper and lower case, spaces and hyphens do not matter. You can document the released codes of your vehicle's manufacturer.

This creates a traceable error history for every vehicle.

8. Reports

The reports summarise the state of your fleet: number and status of vehicles, overdue and upcoming inspection dates, open and resolved errors, and operating hours. They can be downloaded as an Excel or PDF file during the trial and with a plan that includes the export; after the trial or the plan has ended, and while a payment has been outstanding for more than 14 days, the administrators can also do so without a plan, as long as the data are stored.

9. Licences and devices

Each licence is valid for exactly one mobile device. Your plan includes one licence per user seat; additional licences are available on request. During the trial, one licence covers one device of your company. A device is registered as soon as someone signs in to the app, and it takes a free licence. When all licences are in use, no further device can sign in; an account therefore cannot be used on any number of phones.

In the customer portal, under “Licences & devices”, you can see which devices are registered. To change devices, your company's administrators deactivate the old one there (it can then no longer use the app at once) and release its licence. Per licence this is possible at once every 14 days; for an earlier change, they request the release there and we release the licence.

The devices’ lookups are checked for patterns that point to the database being read out. A clear pattern suspends the device’s licence; please contact us in that case.

10. Mobile app (in preparation)

  • Search: look up error codes as in the customer portal.
  • Camera scanner: the app reads the error code from the display using text recognition. Recognition runs on the device.
  • Fleet: adding and editing vehicles, and updating operating hours and inspection data, works the same in the app and the customer portal: every user of your company can do this (section 5); archiving stays with the administrators.
  • Offline: the offline pack contains the released codes for the manufacturers and device types of your fleet, at most 2,000 codes. The app downloads it when connected and keeps it up to date by itself; it expires after 30 days without an update. Codes already looked up and the fleet also remain available without a network. Changes are stored temporarily and transferred as soon as a connection is available again.
  • Security: the app can be locked with Face ID, Touch ID or fingerprint.
  • Languages: German and English.

11. Security and privacy

All connections are encrypted. Write requests, the retrieval of single error codes and the offline pack of the app are additionally signed, access in the customer portal is role-based, and each customer's data is separated from that of other customers. ForkScan Pro is operated on servers in Germany.

12. Plans and subscription

ForkScan Pro is available in the plans Starter, Professional and Enterprise. They differ in the number of users and vehicles, the search quota and the range of features. Current prices and features are listed on the home page.

Your company's administrators manage the subscription, payment details and invoices in the customer portal under “Plan & billing”: from there they open the billing portal, where they can also change the plan or cancel the subscription. A change to a higher plan applies at once, a change to a lower plan from the next billing period. A cancellation takes effect at the end of the current billing period; your access remains until then.

After the subscription has ended, your data stay readable for 12 months; error code lookups as well as adding and editing are locked, and the administrators can download the reports as an Excel or PDF file. If no plan is running by then, we delete the data; the administrators receive a reminder by email at least 30 days beforehand. If a payment fails, your access stays unchanged for 14 days; after that your data are read-only until the payment arrives. If the payment is still missing after the last automatic payment attempt, the subscription ends.
