Area Fleet: own fleet

Partly available

Keep your own fleet in view

Fleet is the area for operators of their own fleets: vehicles, operating hours, inspection dates and documented errors in one place, instead of spread over lists, binders and notes. Part of it you can use today in the customer portal, depending on the plan; a device record with QR code, defects and blocking are planned.

Features

What Fleet can do today and what is planned

Fleet, inspection dates, error documentation and reports are not part of every plan; which plans include them is listed on the home page under “Pricing”. In the trial you can try everything.

Available today

Available
  • Vehicles with status and operating hours

Every vehicle with manufacturer, device type and status: active, maintenance, out of service or archived. You enter the operating hours; their history stays visible.

  • Inspection dates with email reminders

Enter the safety inspection (UVV) dates per vehicle; an email reminds you before scheduled dates. Responsibility for inspection deadlines remains with the operator.

  • Error documentation with photos and status

Record an error code that occurred on a vehicle, with photos, notes and operating hours, from open through in progress to resolved. Every vehicle builds up its own error history.

  • Reports with Excel and PDF export

Overviews of the fleet, inspection dates and documented errors in the customer portal, as an Excel or PDF file for your records.

  • Team with roles

Invite colleagues to the customer portal as administrator or member. The number of users depends on the plan.

  • Your fleet first

When you browse by manufacturer, the manufacturers of your fleet come first, and the device types of your fleet are marked.

Planned

Planned

Intentions without a fixed date. What we build, we try out with pilot companies.

  • Device record with QR code

One record per device with master data, status, reports, repairs and inspections, plus a QR code on the truck as a quick way in.

  • Usability and maintenance history

See per device whether it is ready for use, usable with restrictions or blocked, separately from its maintenance state; plus a simple history of maintenance and repairs.

  • Defects

Review reports and assign them to a defect. Several reports about the same problem lead to one shared defect; every original report is kept.

  • Blocking with documented release

By default, an observation reported as safety-relevant marks the device as blocked as a precaution. It is released again only after a documented check by an authorised person.

  • Repair and release kept apart

A completed repair does not release a blocked device by itself. Release for operation is a separate, documented step.

  • Safety first in the overview

Reported safety risks and blocked devices come before ordinary reports and service cases.

  • Inspection templates with signature

Carry out safety inspections (UVV) and other inspections from a template: findings, measures, signature, record and next due date.

Who it is for

For everyone responsible for a fleet of their own

  • Fleet management

You are responsible for many vehicles and want to see status, due inspections and open errors without having to ask.

  • Maintenance

You record which error occurred on which vehicle and what came of it.

  • Operations management

You need an up-to-date picture for meetings and records, as an Excel or PDF file.

How it fits together

How Fleet connects with the other areas

  • ProDiagnosis

    Available

Fleet and Pro share what they know about your vehicles: the search shows the manufacturers of your fleet first, and an error you looked up is documented on the vehicle.

  • ReportReports at the truck

    Planned

Planned: drivers report problems via the QR code on the device; the reports reach fleet management and the right vehicle.

  • ServiceCustomer fleets

    Planned

Planned: if you work with a service company, you share selected devices or cases with it. Its reports end up in the vehicle's history.

Good to know

Inspections, data and blocking

A reminder is not an inspection
ForkScan Pro reminds you of scheduled inspection dates. The inspection itself and the responsibility for the deadlines remain with the operator.
Your data stay readable
When the trial or a plan ends, the fleet, inspection dates and documented errors stay readable for 12 months; administrators can export them during that time. If no plan is running by then, we delete them; we remind you by email beforehand.
Blocking and releasePlanned
Mark a device with a safety-relevant defect as blocked and release it again only after a documented check. The block is a note in ForkScan Pro, not an intervention in the truck.

Questions

Frequently asked questions

Is Fleet part of every plan?

No. Fleet, inspection dates, error documentation and reports depend on the plan, as do the numbers of vehicles and users. You can compare the plans on the home page under “Pricing”.

How does the inspection reminder work?

You enter the inspection date on the vehicle, and an email arrives before the date. The reminder is part of the plan and ends with it. Responsibility for inspection deadlines remains with the operator.

Can I export the data?

Yes, depending on the plan: the reports in the customer portal output the fleet, inspection dates and documented errors as an Excel or PDF file.

Will the vehicles get QR codes?

That is planned, together with the device record: the QR code on the device is meant to connect the vehicle, the error code search and reports. We do not give a date; we are looking for pilot companies to try it out with us.

Try it free for 7 days
